At the moment most of us have a variety of methods in which customers, suppliers and business partners can contact us. These methods include email, fax, telephone with voice mail, and mobile phone (again with voice mail). Unified Messaging delivers all of your messages including fax, email and voice mail into one in-box that you can access at the office, from home, or whilst on the road. It's easy to understand why when you consider the benefits of being able to manage all of your messages from within a single application. But if you are looking to install a unified messaging system today, what are the options? We look at the two most common routes....

The Multi- Product Approach

Many organisations already have some form of networked email application and a common approach to unified messaging is to find a way to get fax and voice mail messages into the existing e-mail inboxes.

The first task is to find a LAN fax product that provides a gateway for the specific e-mail system. The fax solution will also need to support DDI (direct dial in) routing to allow inbound faxes to be automatically forwarded as graphical attachments to e-mail. The fax solution may require it's own server, dedicated fax hardware and dedicated telephone or ISDN line.

Getting voice mail massages into the e-mail system might prove more of a challenge! Voice mail applications are traditionally sold as an extension to a PBX and, until recently, have offered little or no scope for integration with e-mail. The options may be limited here if relying solely on the telephony provider or PBX manufacturer for answers, Once again, voice mail applications normally run on a dedicated server or workstation and require their own hardware and telephone extensions.

By now you may have spotted the first disadvantage of the multi, product approach. Running several applications on separate servers, each with dedicated communication hardware and telephone lines is not an efficient use of resources.
The system administrator also needs to learn, configure and support at least three different products to provide even the basic component of unified messaging - e-mail, fax, and voice.

A further potential issue is onward compatibility. Version changes, service packs and upgrades often change the way products work. Unless the integration between the products is based on open standards such as TCP/IP and SMTP, upgrading one element may cause it to stop working with the others.

Finally, even when everything works, this solution is likely to lack one very important element, integration, integration means being able to use the services of one messaging module to access the messages received by another. This is particularly important when you are away from the office and need remote access to your inbox. For example, your voice mail system might allow you to dial in from your mobile 'phone and access your voice mail, but will it also give you access to your e-mails and faxes? This level of integration is almost impossible to achieve with multi-product, multi-vendor solutions and is the biggest single drawback of this approach to unified messaging.

The Single Product Approach

The Tobit modules were designed to integrate seamlessly to provide an 'information turntable" for messaging. In practice this means users can make one call to the Tobit server from a mobile 'phone and access their e-mail, faxes and voice messages. It's even possible to record a voice reply to an e-mail, which Tobit will forward via the Internet. Users can also have messages forwarded to their mobile 'phone via SMS, alternatively Tobit can just notify them that new messages are waiting.
